Employees must re-acknowledge this policy annually.

What happens

Chased until complete, because a completion rate is reportable.

Nobody re-reads. The second signature establishes the same thing as the first: that the document was issued.

Where the policy changed in between and nobody said so, the re-acknowledgement is evidence of issuing an unchanged-looking document.

The signature is the part of the process that functions. It is worth being precise about what it does, because the precision changes how much weight is put on it.

What it establishes

That is genuinely useful. In a disciplinary process, showing that an expectation was communicated is a real step, and the signature is the cheapest way to show it.

What it does not establish

Understanding, whatever the wording says.

Agreement in any meaningful sense, since refusal was not available.

That the person read it, which both parties know.

Or that this version is the one they saw, unless the organisation versions its documents — which the ownership note argues for and most do not.

The two overstatements

Treating it as consent. A signature on a first-day document is not agreement to a term somebody could have refused. Where a policy includes something that genuinely requires agreement — a deduction from pay, a device condition — the acknowledgement does not supply it.

Treating it as training. An organisation reporting a hundred per cent acknowledgement rate is reporting an administrative completion, not a level of understanding. The figure is sometimes presented upward as though it were the second.

Re-acknowledgement

Useful where the document actually changed and the change was highlighted.

Where nothing changed, or changed silently, the annual signature is a process maintaining itself. It still has evidential value and it produces no understanding, and the resource spent chasing it might be better spent on the five minutes at induction.

The version question

If somebody is disciplined under a clause, which version did they acknowledge?

An organisation that can produce the dated version they signed is in a strong position. One that has overwritten the document repeatedly and has only a current copy is arguing about something it cannot evidence.

A version number and an archived copy per year. Two minutes annually.

The honest wording

Confirming receipt rather than understanding.

It costs nothing, it is accurate, and it removes the one sentence in the document that everybody involved knows to be untrue.

The two things it is asked to prove

Understanding, which it does not establish, and agreement, which it cannot where refusal was unavailable. Both are routinely claimed on the strength of a signature collected on a first morning.

Confirming receipt instead

Accurate, sufficient for the evidential purpose, and it removes the one sentence in the document that everybody involved knows to be untrue.

Re-acknowledgement without change

Where nothing changed, or changed silently, the annual signature is a process maintaining itself. It retains evidential value and produces no understanding.

What the signature establishes

That the document was made available to this person on this date. Genuinely useful, cheap, and considerably narrower than what is usually claimed on the strength of it.

Chasing the signature rather than the understanding

Both are visible to staff, and the organisation chases one. That choice is the first information a new starter receives about what the document is for.

What to put in the acknowledgement

Confirmation of receipt and a date. Nothing about understanding, which is not established by a signature and is established, if at all, by the five minutes at induction.

The change costs nothing legally, improves the accuracy of the record, and removes the one sentence in the document that everybody involved privately knows to be false. Documents about conduct are read more carefully than their authors expect, and the small untruth at the foot of the page is noticed.

Where re-acknowledgement is retained, make it carry something: a one-line note of what changed since the last version, or nothing at all if nothing did. A signature collected against an unchanged document is an administrative cycle maintaining itself.
